Once the guest arrives at the hotel, the front desk agent creates a guest registration card in order to collect important guest information which is required to be signed from the guest. Once guest check-In to a hotel, the hotelier prints GR Card for guest reference, Below are the steps on how to Print GR Card for Multiple / Single Guest who arrive.
Note: The Guest Registration (GR) card number will not be generated before check-in. It will only be generated at the time of check-in.
Reasons why the GR card number is not generated before check-in:
Verification of Guest Identity
Guest details (name, ID proof, address, nationality, etc.) must be verified against valid identification documents presented only at check-in.
Printing the GR card in advance may cause discrepancies or mismatches with the actual ID provided.
Dynamic Information
Information such as number of guests, duration of stay, room assignment, payment method, and special requests is usually confirmed only during check-in.
Printing beforehand risks outdated or incorrect data.
Guest Signature Requirement
The GR card requires the guest’s physical signature to confirm acceptance of terms and conditions, hotel policies, and data accuracy.
This can only be captured during the check-in process.
Operational Accuracy
Advance printing could create confusion in case of last-minute booking modifications, cancellations, or no-shows.
Printing after check-in ensures the document reflects accurate and up-to-date details.
How to Access: In order to print Single or Multiple GR cards please follow the below steps.
Printing a Single GR Card:
Navigate to Arrivals:
- Go to Front Office > Reservations > Arrivals.
- Go to Front Office > Reservations > Arrivals.
Select the Reservation:
- Click on the specific reservation for which you want to print the GR card.
Print the GR Card:
- Hover the mouse on Print/send Option
- Click on the Print Guest Registration Card button.
- Hover the mouse on Print/send Option
Printing Multiple GR Cards:
Navigate to Arrivals:
- Go to Front Office > Reservations > Arrivals.
- Go to Front Office > Reservations > Arrivals.
Select Multiple Reservations:
- Use the checkboxes to select the reservations for which you want to print GR cards.
Print GR Cards:
- Click on the Print Guest Registration Card button to print GR cards for all selected reservations.
- Click on the Print Guest Registration Card button to print GR cards for all selected reservations.
Alternative Method via Edit Reservation:
Access Stay View:
- Navigate to Front Office > Stay View or Reservation Section.
Edit the Reservation:
- Click on the reservation you wish to print the GR card for.
- Click on Edit Reservation.
Print the GR Card:
- Within the reservation details, click on the Print GR Card option.
- Within the reservation details, click on the Print GR Card option.
