How to Create an Incidental Invoice on the Name of a Company?

Modified on Sat, 11 Oct at 11:35 AM

In eZee Absolute, you can create an Incidental Invoice to record charges that are not linked to a specific room reservation — for example, restaurant bills, minibar charges, or any miscellaneous services. If these charges need to be billed directly to a Company, you can easily generate the invoice under the company’s name using the POS (Point of Sale) option.

  • Steps to Create an Incidental Invoice on a Company Name

  1. Go to the Front Office.

  2. Click on the ☰ (three-line menu) at the top-left corner.

  3. Navigate to Cashiering > POS.

  4. Click on Add New.

  5. Enter the required details such as:

    • Guest Name (optional)

    • Voucher Number (for reference)

  6. Under Payment Type, select City Ledger.

  7. In the Method field, select the Company Name for which you want to generate the invoice.

  8. Add all the applicable Charges (e.g., Food, Laundry, Transport, etc.) and Payment details.

  9. Click Save to generate the Incidental Invoice on the selected Company.

  • Notes & Best Practices

  • Ensure that the Company profile is already created under Cashiering > Company/Travel Agent Database before generating the invoice.

  • Once the invoice is generated, it will automatically reflect in the company’s City Ledger account for settlement or reporting purposes.

  • You can later review or print the invoice from Cashiering > City Ledger > Company Account.

Example Scenario:
A corporate guest stays at the hotel and dines at the restaurant, but the company agrees to pay for all incidental charges.
→ Create an incidental invoice via POS, select City Ledger as the payment type, choose the company name, and save — the system will generate the invoice under that company for billing and settlement.
