1. Objective

To enhance the Night Audit Report by displaying reservation/booking details for operational charges such as Late Checkout, Day Use, Cancellation Revenue, and No Show Revenue, enabling clear transaction traceability and improving audit visibility for hotel users.

2. Functional Requirements

2.1 Night Audit Report Enhancement

The Night Audit Report should display booking/reservation details not only for Room Charges, but also for additional revenue components generated during hotel operations.

Currently, booking details are visible only for manually posted room charges.

2.2 Booking Detail Visibility

System should display brief reservation details for the following charge types:

  • Late Checkout Charges

  • Day Use Charges

  • Cancellation Revenue

  • No Show Revenue

Displayed booking information may include:

  • Reservation Number

  • Guest Name

  • Check-in / Check-out Date

  • Room Number (if applicable)

2.3 Charge-to-Reservation Mapping

All applicable charges included in the Night Audit Report must be mapped to their originating reservation.

The report should automatically fetch reservation details when:

  • Charges are system-generated, or

  • Charges are posted against an existing booking.

2.4 Report Consistency

Booking details should appear consistently across:

  • Room Charges

  • Auto-posted operational revenues

  • Adjustment-based postings linked to reservations

This ensures uniform visibility within the Night Audit Report.

3. Reporting Requirements

Enhanced Night Audit Report should:

  • Display booking reference against each applicable charge.

  • Allow users to identify reservation ownership directly from the report.

  • Reduce dependency on manual reservation lookup.

Export formats should continue to support:

  • PDF

  • Excel

4. Operational Benefits

Implementation of this enhancement will provide:

  • Improved audit clarity during Night Audit process

  • Faster revenue verification

  • Easy identification of reservation-linked charges

  • Reduced manual cross-checking between reports

  • Better financial transparency for management

  • Smooth shift handover during audit closure

  • Simplified revenue validation

  • Improved reconciliation accuracy
