1. What is the purpose of the Manager Report?
The Manager Report in PMS provides a consolidated summary of the property's financial and occupancy performance for a specific day, PTD (Period to Date), and YTD (Year to Date). It helps hotel owners and management track daily operations, revenue sources, guest activity, and overall business health.
2. What do PTD and YTD stand for?
PTD (Period to Date): The total value from the beginning of the month until the selected date.
YTD (Year to Date): The total value from the beginning of the year until the selected date.
3. What is included in the Revenue Summary section?
Room Rates: Room revenue for bookings without any inclusions or extras.
No Show Revenue: Revenue generated from guests who did not show up but were charged.
Cancellation Revenue: Revenue from cancellation charges.
Day Use Charge: Revenue from rooms used for day purposes without an overnight stay.
4. What are Extra Charges?
Extra charges display the revenue collected from various extras (e.g., extra bed, early check-in, minibar, laundry, etc.) posted manually or automatically to the guest’s folio. The report provides a breakdown of each extra charge type separately.
5. What is included in the Tax Section?
CGST, SGST, IGST, UTGST: Government taxes collected based on the GST slab applicable to services.
Luxury Tax: Collected for states where applicable according to local taxation laws.
Tax: Sum of all taxes collected.
6. What is the Revenue Summary (Excluding Tax)?
Total Revenue without Tax: Net revenue excluding all taxes.
Transfer Charges to Guest Ledger: Amount transferred from POS or other modules to the guest folio.
7. What does the Payment Section show?
This section shows the payment modes used for settlement, including cash, card, or other methods.
8. What is included in the Ledger Summary?
City Ledger: Outstanding amounts transferred to a corporate or company account.
Advance Deposit Ledger:
Advance Deposit Collected: This is the amount taken from the guest before they check in. If you take the deposit in the software during the reservation or booking stage, that amount will show in the Advance Deposit Ledger.
Balance Transfer to Guest Ledger: When the guest checks in, the amount from the advance deposit is transferred to this caption, reflecting the balance moved from the advance deposit.
Advance Deposit Posted to City Ledger: If the deposit is made using the City Ledger payment method for the particular booking or reservation, once the guest checks in, that amount will be transferred to the Advance Deposit Posted to City Ledger caption.
Guest Ledger:
Opening Balance: The opening balance is the previous day's closing balance.
Transfer from Advance Deposit: When the guest checks in, any advance payment made for the booking or reservation will show in the Transfer from Advance Deposit caption.
Charge Posted to Guest Ledger: Displays the sum of room tariff and extra charges for the selected date, including POS postings. This is applicable for both in-house guests and checked-out guests.
Transfer from Advance Deposit: The advance payment made for the guest’s booking or reservation is reflected here once the guest checks in.
9. What is included in the Room Summary?
Total Room: Total number of physical rooms in the property.
Block Room: Rooms unavailable due to maintenance or internal use.
Sold Room: Rooms that are occupied.
Day Use Room: Rooms sold for day use only.
Complimentary Room: Rooms provided free of charge.
No Show Room: Rooms reserved but not occupied.
Average Guest Per Room: Average number of guests per room occupied.
10. What does Reservation Statistics show?
No Reservations (Confirm): Confirmed bookings for the day.
No Reservations (Unconfirm): Provisional or unconfirmed bookings.
No of Visitors: Walk-in visitors, not necessarily staying overnight.
11. What are Room KPIs?
Occupancy Rate (%): Percentage of sold rooms against available rooms.
Average Daily Rate (ADR): Total room revenue / number of rooms sold.
Revenue Per Available Room (RevPAR): Room revenue / number of available rooms.
12. What is the Revenue Summary (Without Tax)?
Room Revenue: Total revenue from room charges (excluding tax).
Extra Revenue: Revenue from extras and additional services.
PMS Revenue: Total of Room Revenue + Extra Revenue.
POS Revenue: Revenue from the POS module.
Total Revenue: PMS Revenue + POS Revenue.
13. How is the Guest Ledger calculated?
Closing Balance = Opening Balance + Charge Posted to Guest Ledger - Settlement by Guest and City Ledger - Transfer from Advance Deposit - Past Date Payment Done - Adjustment.
14. What is Transfer from Advance Deposit?
Transfer from Advance Deposit is the amount transferred to the Guest Ledger once the guest checks in, reflecting any advance deposit made at the time of reservation or booking.
15. What is PMS Revenue?
PMS Revenue is the total revenue without tax (from all outlets).
16. What is POS Revenue?
POS Revenue refers to all revenue from POS outlets, excluding tax.
